Overview
We are seeking a dynamic and organized Receptionist/Administrative Assistant to join our team! Responsibilities

  • Greet visitors and clients warmly, ensuring a professional and friendly first impression.
  • Manage phone systems, screen calls, and direct inquiries efficiently.
  • Assist management by handling administrative and operational tasks.
  • Maintain data entry records, and manage correspondence via email and phone.
  • Support office management tasks such as calendar management, meeting coordination, and supply inventory.
  • Provide customer support by addressing inquiries promptly and professionally.
  • Perform clerical duties including proofreading documents, preparing reports, and managing office documentation.
  • Utilize Google Workspace tools (Docs, Sheets, Calendar) to streamline daily operations and document management.
  • Keep the workplace clean and organized.
  • Anticipate the needs of others (staff/clients) to ensure their seamless and positive experience.
  • Handle sensitive information and confidential documents with the utmost discretion and security.

Experience

  • Previous office experience or administrative support roles demonstrating strong organizational skills.
  • Experience with phone systems and front desk operations in a professional setting.
  • Proficiency with Microsoft Office Suite (Word, Excel, Outlook) and computer literacy essential for daily tasks.
  • Bilingual abilities are highly valued to assist diverse client needs effectively.
  • Strong customer service skills with a focus on excellent phone etiquette and interpersonal communication.
  • Experience in clerical tasks such as data entry, filing, proofreading, and calendar management.
  • Knowledge of medical receptionist procedures is a plus but not required.
