Job Summary

We are looking for a proactive and organized Office Administrator with strong customer service skills to join our dynamic team. This role will be instrumental in ensuring the smooth day-to-day operations of our office while providing exceptional support to our clients and visitors. As the first point of contact for customers, you will play a key role in maintaining a positive company image and delivering a professional and efficient experience.

Key Responsibilities

  • Administrative Support: Manage office supplies, equipment, and resources, ensuring that the office environment is organized and fully operational.
  • Customer Service: Answer phone calls, respond to customer inquiries, and provide solutions to customer concerns via phone, email, or in-person communication.
  • Scheduling & Coordination: Assist in organizing meetings, appointments, and office events, ensuring all logistics are handled efficiently.
  • Data Entry & Documentation: Maintain accurate records, process forms, and perform data entry tasks as required. Keep files and documents organized and up to date.
  • Reception Duties: Greet visitors, clients, and guests with professionalism, assisting with their needs and directing them to the appropriate departments.
  • Internal Communication: Act as a liaison between departments, ensuring effective communication for office operations and client coordination.

Required Skills and Qualifications

  • Proven experience as an office administrator, customer service representative, or similar role.
  • Proficient in Microsoft Office Suite (Word, Excel, PowerPoint) and general office management software.
  • Strong verbal and written communication skills, with a customer-centric approach.
  • Exceptional organizational skills and attention to detail.
  • Ability to multitask, prioritize, and work independently.
  • Strong problem-solving skills and the ability to handle customer complaints with patience and professionalism.
  • A high school diploma or equivalent is required; additional qualifications in office administration or related fields are a plus.

Experience

  • Minimum 1-2 years of experience in an office administrator or customer service role.
  • Previous experience in a fast-paced environment is highly advantageous.
  • Experience with office management tools and software is a plus.
  • Customer-facing experience, including managing inquiries and resolving issues, is a must.

Working Hours

  • Full-time position, Monday to Friday, from 9:00 AM to 5:00 PM.
  • Occasional overtime may be required depending on business needs.
