<p>Inventory Manager</p><p><br></p><p>The White House Historical Association is a non-profit, non-partisan educational organization founded in 1961 by First Lady Jacqueline Kennedy to enhance the understanding, appreciation, and enjoyment of the Executive Mansion. For more than sixty years, the Association has produced award-winning books on a wide range of subjects related to the history of the President’s House and has actively fulfilled its educational mission with robust educational programming and retail offerings.</p><p>This is <strong>NOT</strong> a political position or a position with the United States Government. All proceeds from the sale of the Association’s books and products are used to fund the acquisition of historic furnishings and artwork for the permanent White House Collection, assist in the preservation of public rooms, and further its educational mission.</p>Position Summary<p><strong>Inventory Recordkeeping & Data Accuracy</strong></p><p>The Inventory Manager is responsible for the accuracy and integrity of inventory records across our omnichannel retail business. </p><p><br></p><p>This role has two distinct components. The first is inventory recordkeeping: ensuring that what the system says is in stock matches reality across warehouse and shop locations.  This involves reconciling discrepancies, auditing records, and maintaining clean system data. </p><p><br></p><p>The second is purchase order tracking: managing POs from issuance through receipt and submitting vendor invoices to finance to ensure vendors are paid on time. Rather than physically handling stock, the Inventory Manager owns the data, processes, and controls behind both functions, partnering closely with e-commerce, store, and accounting teams so inventory numbers are validated and vendor invoicing is executed efficiently.  </p><p><br></p><p><strong>Key Responsibilities</strong></p><p><br></p><p><strong>Inventory Record Accuracy</strong></p><p>•      Own the accuracy of inventory records in the inventory management system across omni-channel locations.</p><p>•      Oversee and analyze results of cycle counts and physical inventory counts performed by store and warehouse staff, ensuring discrepancies are properly investigated and recorded.</p><p>•      Reconcile variances between physical count results and system records, identifying root causes (e.g., data entry errors, unrecorded transfers, receiving errors, shrinkage).</p><p>•      Maintain clean, well-organized inventory and location data so that stock levels are correctly attributed across all selling channels.</p><p>•      Maintain documentation standards and audit trails for all inventory adjustments.</p>Purchase Order Tracking & Vendor Invoicing<p>•      Track all open purchase orders from issuance through receipt, confirming quantities and costs received match what was ordered.</p><p>•      Update purchase order status in the system promptly upon receiving, ensuring inventory and cost records reflect what was actually received.</p><p>•      Collect, verify, and submit vendor invoices to the finance team in a timely manner to support on-time vendor payment.</p><p>•      Match vendor invoices against purchase orders and receiving records (three-way match) to flag discrepancies in price, quantity, or terms before submission.</p><p>•      Maintain an organized log of outstanding purchase orders and invoices and follow up with vendors or finance on any delays or discrepancies.</p><p>•      Serve as the point of contact between vendors, warehouse/store receiving staff, and finance for purchase order and invoicing questions.</p><p>•      Coordinate with warehouse team on clarity of receiving and documentation to ensure accuracy on OH inventory or discrepancies of vendor shipments.</p>Reporting & Systems<p>•      Maintain the inventory management system as the single source of truth for stock counts and valuation across all locations.</p><p>•      Generate regular reports on inventory accuracy, shrinkage, and discrepancy trends for leadership, finance, and e-commerce stakeholders.</p><p>•      Identify and implement process improvements or system controls that reduce recurring data errors.</p>Team Leadership & Coordination<p>•      Train and guide store and warehouse staff on accurate counting, data entry, and documentation procedures that protect record accuracy.</p><p>•      Set and enforce standard procedures for recording receiving, transfers, and adjustments so all activity is properly reflected in the system.</p><p>•      Conduct regular check-ins with store managers, warehouse leads, e-commerce, and finance to align on data accuracy priorities and resolve open discrepancies.</p>QualificationsRequired<p>•      5-10+ years of experience in inventory control or retail operations with a significant data/recordkeeping component.</p><p>•      Experience reconciling physical inventory counts against system records and resolving discrepancies.</p><p>•      Demonstrated experience using inventory management or POS/ERP systems including in an e-commerce context.</p><p>•      Comfortable working with accounting/finance teams on inventory valuation, COGS, and audit support.</p><p>•      Experience tracking purchase orders and coordinating with vendors and accounts payable to ensure timely, accurate invoice submission.</p><p>•      Strong proficiency in Excel/Google Sheets; comfortable building reports and auditing data for accuracy.</p><p>•      Excellent organizational skills and high attention to detail.</p><p>•      Strong written communication skills for documenting discrepancies, adjustments, and audit trails.</p>Preferred<p>•      Experience supporting inventory accuracy for an e-commerce or omnichannel retail business.</p><p><strong> </strong></p><p><strong> </strong></p><p><strong>Job Details:</strong></p><ul><li>Type: Full-time Exempt</li><li>Salary Range: $70k-$80k annually </li><li>Benefits: 403(B), health, dental, vision insurance, paid time off, employee discounts</li><li>Location: On-site</li></ul><p><br></p><p><strong><u>Candidates selected for this position must pass a full background and reference check.</u></strong></p><p><strong><em>To Apply:</em></strong></p><p><br></p><p>Send cover letter describing your relevant experiences, and your resume in a single Word document or PDF to employment@whha.org The White House Historical Association is an equal opportunity employer.</p><p>                          </p><p><br></p>
