Job Summary

We are seeking an energetic and friendly Front Desk Receptionist to join our team on a part-time basis, working specifically on Saturdays. This vital role involves creating a welcoming environment for visitors and clients, managing front desk operations efficiently, and providing exceptional customer service. The ideal candidate will be highly organized, possess excellent communication skills, and be comfortable handling multiple tasks in a fast-paced setting. Duties

  • Greet visitors warmly and direct them appropriately, ensuring a positive first impression.
  • Answer multi-line phone systems promptly, professionally, and courteously, providing accurate information or transferring calls as needed.
  • Manage front desk operations including scheduling appointments, maintaining visitor logs, and handling incoming correspondence.
  • Perform clerical tasks such as filing, data entry, proofreading documents, and updating records with precision.
  • Support office management activities by organizing supplies, managing mail distribution, and maintaining a tidy reception area.
  • Assist with client communication via phone or email, ensuring clear and professional interactions at all times.
  • Use Microsoft Office applications to prepare documents, reports, and correspondence efficiently.

Requirements

  • Proven office management or administrative experience with a strong background in clerical duties.

  • Prior experience answering phones using multi-line phone systems with proper phone etiquette.
  • Strong organizational skills with the ability to prioritize tasks effectively and manage time efficiently.
  • Bilingual abilities are highly desirable to serve diverse client needs better.
  • Demonstrated customer service skills with a friendly and professional demeanor.
  • Experience in front desk operations or personal assistant roles is preferred.
  • Attention to detail for proofreading documents and maintaining accurate records.
